Who is responsible

Librarian is run by Librarian, an independent developer ("we", "us"). Contact: [email protected].

Each server owner decides how the bot is used in their server, and which features are on.

What we keep about a server

Its settings, its plan, the AI usage counts and credits, and whether it is switched on or paused. Every server also has a database of its own, separate from every other server. What that database holds depends on the features the server uses, and is listed next.

What each feature stores

Members are identified by their Discord user ID. Only the features a server switches on store anything.

  • Tickets: the ticket, its panel and categories, and a transcript of the conversation, saved as a file.
  • Leveling and coins: each member's XP, level, coin balance, and activity statistics for messages and voice.
  • Giveaways: entries, winners and the blocklist.
  • Moderation: a record of offences, with the member and the rule.
  • Invite tracking: who invited whom, and counts.
  • Starboard: which messages were reposted.
  • Treasure hunt: each play.
  • AI chat and help: the conversation history with the bot, the knowledge documents you upload, the text of the knowledge channels it learns from, and usage counts.
  • AI actions (Pro): each request staff make, the plan it produced, who approved or undid it and when, and for every change it made what it was before and after: channel, category and role names, permission settings, forum tags, and the text of messages it posted or edited. This is what lets a change be undone. It does not keep the messages it reads, only a summary or plan made from them.

Signing in to the dashboard

You sign in with Discord. We ask Discord for your identity, your email and the list of your servers, and use them to show the servers you manage.

Your sign-in is kept in an encrypted cookie in your browser. Your Discord access token stays inside that cookie and is never sent to the page. The dashboard does not keep a separate account record for you.

Payments

Payments are handled by Polar (polar.sh), the merchant of record. Polar collects your name, email, card and billing address under its own privacy policy. We never see or store card details.

We keep which Discord account paid for which server, the plan or pack bought, its status and dates, so the right plan is switched on and refunds can be handled.

The AI provider

Librarian's AI features use DeepSeek (Hangzhou DeepSeek Artificial Intelligence Co., Ltd.), whose servers are in China, so this information is processed there. It only happens in servers that switch an AI feature on, and only for what is listed below.

  • AI chat and help: the question, the member's recent conversation with the bot, and the matching parts of the server's knowledge.
  • AI actions, every request: the request itself, and the names and IDs of the channels, categories, roles and forum tags that the person asking can see.
  • AI actions, only when the person asking tells it to read messages ("summarize the conversation above"): up to 50 recent messages from a channel or thread they can read, with each message's author display name and time.
  • AI actions, only when editing one of the bot's own messages: that message's current text.

Member user IDs, email addresses and dashboard sign-ins are never sent. DeepSeek does not use this data to train its models.

Analytics

We use PostHog to count visits and see how people use the site and dashboard (pages viewed, buttons pressed), so we can improve it. It runs through our own domain, sets no cookies, and does not record what you type or link visits to your Discord account.

How long we keep it

Data is kept while the bot is in the server. AI conversation history is deleted after 30 days by default, and older turns are removed every day. The AI actions log, with what each change was before and after, is deleted after 30 days.

If the bot is removed from a server, its data is kept for 30 days in case you add it back, then deleted automatically.

Who can see it

People who manage a server see that server in the dashboard, and no other. That includes the AI actions log: who approved each change, and what it changed. Changes the AI actions make also show in the server's own Discord audit log, with the name of the person who approved them. The people who run Librarian can reach the data when they need to run or fix the service. Only the people who operate the service have that access.

Data is stored on servers in the United States.

Your choices

You can ask for a member's data, a whole server's data, or your sign-in to be deleted. How is on the data deletion page.
